How Vaultline Came to Be
Vaultline began with a problem its founders had seen many times over: families in the middle of difficult moments, searching for documents that should have been easy to find, uncertain about where to look and who to call. The records existed — they were simply scattered, mislabelled or entirely missing from where they were supposed to be.
The response was not a law firm, a financial consultancy or a probate service. It was something quieter and more practical — a set of clear templates, a gentle cataloguing process and a well-structured informational seminar that pointed people toward the right official channels without pretending to be one of them.
We opened our doors in Chiang Mai because the city draws a large community of long-term residents, retirees and families with ties across multiple countries — people for whom the question of how to keep personal affairs in order is particularly relevant and often particularly complex.
Since then, we have worked with individuals who wanted to tidy up a lifetime of paperwork, families who needed to document the story behind inherited objects, and community groups who attended our seminars simply to understand the landscape of resources available to them.
Our work is deliberately bounded. We do not hold ourselves out as qualified legal or financial practitioners. What we do is help people think clearly about what they have, where it is, and who might need to find it one day. That, we find, is more valuable than it might first appear.
Vaultline is headquartered at 63 Tha Phae Road in the Chang Khlan district — a short walk from the Night Bazaar and accessible to most parts of the city. Our team is small, our methods are considered, and our approach is always unhurried.

FOUNDER & LEAD CONSULTANT
Nathalie spent over a decade working in document management and administrative services before founding Vaultline. She is drawn to the practical and the personal in equal measure.
Wanchai Phanichkul
CATALOGUING SPECIALIST
Wanchai brings a background in archival photography and object documentation. He leads all heirloom cataloguing sessions with close attention to provenance and detail.
Laura Sutherland
SEMINAR FACILITATOR
Laura facilitates our Generational Planning Seminars and holds a background in community education. She has a particular focus on helping expat families understand where to find reputable official resources.

Personal Records, Family Heirlooms and the Information That Connects Them
Most people are aware, in the background, that their personal records could be better organised. Birth certificates, property documents, account summaries, contact lists — these things accumulate over a lifetime and often end up in different places, managed with different levels of care. The problem is rarely urgency. It is the absence of a clear starting point and a simple structure to follow.
Vaultline provides that starting point. Our Legacy Documentation Toolkit gives individuals a practical framework for gathering the records that matter most, labelling them clearly and storing them in a way that others could navigate when needed. The templates are straightforward and can be worked through in stages, without needing to complete everything at once.
For families with meaningful possessions — furniture, jewellery, ceramics, artwork, collected objects — the story behind each piece is often as important as the piece itself. Our Heirloom Cataloguing service creates a lasting written and photographic record that captures not only what an item is, but where it came from, who owned it and what it meant. That kind of documentation can be invaluable for families navigating a distribution of belongings, and equally valuable simply as a record of a life well lived.
Our Generational Planning Seminars are informational sessions — not professional advice. They are designed to help attendees understand the general landscape of record-keeping across generations, and to know where to go for qualified help when they need it. We provide resource directories and referrals to official channels, covering areas such as Thai civil registration, embassy and consular services for foreign nationals, and publicly available estate administration frameworks.
None of this replaces a solicitor, a notary, a financial planner or any other qualified practitioner. What it does is make the ground clearer before those conversations begin — and often, it means those conversations are more productive and less stressful when they happen.
